Position Details: Admin and EMIS Officer

Job Description:

The Aga Khan Education Service, Pakistan (AKESP), is seeking a dedicated and experienced Admin & EMIS Officer to join our team. The successful candidate will play a crucial role in the efficient management and administration of our services, contributing to the overall effectiveness and success of the organization.

Key Responsibilities:

  1. In-House Administration:

    • Oversee daily administrative tasks to ensure smooth operations within the office.
    • Implement and maintain administrative systems and procedures.
  2. Safety and Security:

    • Ensure the safety and security of office premises and assets.
    • Develop and enforce safety policies and procedures.
  3. Lease Agreements:

    • Manage lease agreements for office spaces.
    • Ensure timely renewal and compliance with lease terms.
  4. Fixed Assets Register:

    • Maintain an accurate and up-to-date register of fixed assets.
    • Monitor the condition and usage of assets.
  5. Procurement:

    • Handle procurement activities, including sourcing, purchasing, and vendor management.
    • Ensure compliance with procurement policies and procedures.
  6. Event Management:

    • Plan and organize events, including meetings, workshops, and training sessions.
    • Coordinate logistics and manage event budgets.
  7. Daily Admin Support:

    • Provide daily administrative support to the RSDU (Regional School Development Unit) team.
    • Assist with scheduling, communications, and other administrative tasks.
  8. Asset Management:

    • Ensure the proper usage and maintenance of office assets.
    • Implement procedures for asset tracking and control.
  9. Logistical Support:

    • Provide logistical support to cluster staff, including travel arrangements and accommodation.
    • Assist in the coordination of field visits and other activities.
  10. Recruitment and Selection:

    • Assist the head of RSDU and the HR team in recruitment and selection processes.
    • Update and maintain personnel files.
  11. MER/EMIS Facilitation:

    • Facilitate Monitoring, Evaluation, and Research (MER) and Educational Management Information System (EMIS) activities.
    • Assist in data collection and reporting as needed.

Qualifications and Skills:

  • Educational Background:

    • A Master’s degree in finance, commerce, management, or economics.
    • Higher qualifications will be an advantage.
  • Experience:

    • At least 2 years of relevant experience in a reputable organization.
    • Candidates with more extensive experience will be preferred.
  • Technical Skills:

    • Proficiency in MS Office (Word, Excel, PowerPoint) is mandatory.
    • Strong organizational and administrative skills.
  • Communication Skills:

    • Excellent written and oral communication abilities.
    • Ability to interact effectively with staff at all levels.
  • Personal Attributes:

    • Strong attention to detail.
    • Ability to work independently and as part of a team.
    • High level of integrity and professionalism.
